Research Administration 101 (RA-101)

An eight-week course offered two times per year. 

NOTE: The training program is currently undergoing an update and no classes are currently offered. We will update this webpage once the RA 101 training program is available again. Thank you for your patience and understanding.  Please email [email protected] with any training-related questions. 

Day 1: Introduction to Proposals and Building Budgets
  1. Be able to identify key elements in a funding opportunity announcement necessary to complete an application
  2. Become familiar with the components of a proposal application
  3. Know the federal cost principles
  4. Know the anatomy of a budget, including what constitutes direct and indirect costs
  5. Know how to calculate indirect/F&A costs with MTDC base
  6. Become familiar with common Research Administration terms and acronyms (including subcontract)
Day 2: Other Types of NIH Budgets
  1. Understand allowability of costs, including what is covered by F&A
  2. Know how to determine the correct NIH Budget type for a project
  3. Know how to prepare a Modular Budget
  4. Understand how NIH ASSIST compiles a Composite Budget for NIH Multi-Component Applications
  5. Become familiar with budgeting consideration for multi-component projects and projects with subcontracts
  6. Know how to prepare a NIH Training Grant Budget
Day 3: Budget Justifications, Nonprofit Budgets, Budget Policies and Indirect Costs
  1. Understand the critical relationship between the scope of work, budget and budget justification
  2. Be able to identify the necessary resources to prepare a budget for an application to non-Profit sponsors
  3. Know the nuance of calculating indirect costs for applications to non-Profit sponsors
  4. Know how the F&A rate agreement serves in the determination for full recovery
  5. Be able to identify and apply the correct indirect cost rate and base.
Day 4: Compliance Policies
  1. Understand the order of precedence
  2. Be able to determine PI status
  3. Understand what constitutes as cost sharing and program income
  4. Know the COI requirements
  5. Know regulatory requirements, such as IRB, IACUC, foreign influence, special funding considerations and data sharing)
  6. Have a basic understanding of the subcontract process
  7. Be able to appropriately distinguish (or know when to escalate to distinguish) between subcontracts and vendor contracts
Day 5: Partnership
  1. Know who are our clients and partners
  2. Understand the goals of our primary clients
  3. Know OSR’s top 5 core competencies to meet our performance and service goals
  4. Be able to apply OSR’s top 5 core competencies to seek resolution
  5. Learn tips for effective and clear communication and how to prepare for your first meetings (with PIs and departments)
Day 6: Award Acceptance Part I
  1. Understand the requirements to complete the NIH application process in Other Support requirements
  2. Know your role in the Award Acceptance process
  3. Using the NIH Notice of Award (NoA), learn to read a federal award
  4. Learn how the NIH Grant number can assist in identifying the purpose of the award.
  5. Understand our responsibilities under the terms and conditions of a federal award
  6. Review examples of Non-NIH NOAs
Day 7: Award Acceptance Part II
  1. Become familiar with the 8 University Principles and why they were developed
  2. Be familiar with the RPAC Contract and Grant Manual
  3. Know common terms in research agreements
  4. Be able to recognize terms and conditions embedded in a funding announcement
  5. Learn to use the FDP website
  6. Become familiar with the FDP Amendment Template
  7. Become familiar with Multiple Campus Awards (MCAs)
Day 8: Administrative Requirements
  1. Know what transactions require Prior Approval from the sponsor
  2. Know award reporting requirements
  3. Understand OSR's responsibility to complete the award closeout process
  4. Be aware that UCSF is subject to Federal single audit
